VIRTUAL ASSISTANT SUPPORT · FLEXIBLE RETAINER

Your right hand - without the
full-time hire.

Skilled, consistent VA support from a Business Operations Specialist who learns your business, handles the operational detail, and gives you back the headspace to lead.

Flexible hours · Minimum 2 hours per week · 30 days' notice to up or down-size

WHY A VIRTUAL ASSISTANT

You didn't start a business
to spend your week in your inbox.

But here you are. Tuesday morning, three hundred unread, a calendar that's been double-booked twice this week, and a to-do list that quietly rewrites itself every night.

Sound familiar?

A Hunter Admin VA is not a stranger you hand the messy bits to. We learn how you work, build the systems and processes around the chaos, and quietly start handling the things that don't need your brain on them.

The result: fewer fires. Better operational efficiency. A business that moves without you being in every corner of it.

WHAT'S INCLUDED

Six areas of support -
starting week one.

The mix flexes month by month as your business shifts. Busier launch month? More client comms. Quieter quarter? More systems and process work.

Inbox & Email - Triage, reply on your behalf in your voice, and keep the inbox clear. Drafted responses waiting for you on the things only you can answer.

Task & Project Coordination - The list of small things you keep meaning to do - sorted, owned, and moved through. Plus keeping your team accountable for what they owe you.

Documents & Admin - Proposals, contracts, process documentation, file organisation. Templated where we can, manual where we need to be.

Calendar & Scheduling - Booking, rescheduling, agendas, prep notes. We protect your focus blocks and stop the calendar from leaking.

Client & Supplier Comms - Onboarding, off-boarding, supplier follow-ups, and the polite but firm chase emails nobody wants to write. In your voice, on your timeline.

The Operational Overflow - The things that don't fit a category but still eat your week. Travel, research, reformatting, finding that supplier you used two years ago.

WHO IT'S FOR

Honest about who
we work best with.

Virtual Assistant support works brilliantly for the right business. Here's where Hunter Admin fits naturally and where you might need something different.

A good fit if:

  • You're running a small but growing team and operations are starting to creak
  • You've outgrown informal systems and need proper processes in place
  • You want consistent, skilled support rather than a rotating cast of freelancers
  • You need anything from a couple of hours a week to fuller operational cover

Worth considering first if:

  • You need a one-off piece of work rather than ongoing support - the Admin Power Hour or Business Operations Audit may suit you better
  • You're not quite sure what you need yet - book a discovery call and we'll point you in the right direction

QUESTIONS WE GET ASKED

Everything you'd reasonably
want to know.

And if there's something here we haven't covered - just ask. We'll reply, in plain English, within a working day.

What does 'no long-term contract' actually mean?

It means exactly what it says. Your retainer support rolls month by month. You can up-size, down-size, or end the arrangement with thirty days' notice. No annual lock-in, no minimum term, no penalty fees.

The only minimum is two hours of support per week. Beyond that, the relationship lasts as long as it is earning its place in your business.

How do I know how many hours I need?

Most founders aren't sure at the start. That's completely normal.

We start with a free discovery call to get a clear picture of your business, your workload, and where the operational gaps are. From there we'll suggest a sensible starting point - minimum two hours per week - and build from there.

We track time honestly each week and send you a weekly summary so you always know exactly where your hours are going. At the end of month one we have a proper conversation about whether to size up, hold, or scale back.

If you've had a Business Operations Audit with us first, that gives us both a much sharper starting estimate before the retainer even begins.

Can I really up- or down-size whenever?

Yes - with thirty days' notice, in either direction.

Big launch month coming up? Add hours. Going on holiday or taking a step back? Pause. Quieter quarter? Scale back. We would rather have a flexible retainer that earns its place in your business than one you resent paying for.

The minimum is two hours of VA and operational support per week. Everything above that flexes around what your business actually needs.

Who actually does the work?

You get a named VA matched to your business - not a different person each week.

Your VA learns your voice, your business systems, and how you work. Gemma and the wider Hunter Admin team provide cover and quality oversight, so support never drops when life gets in the way.

One consistent person. One reliable operational partner. No guesswork.

Is my data and inbox secure?

Yes. Hunter Admin is UK-based, fully insured, and GDPR-compliant as standard.

We use named password managers and shared vault tools - never sticky note logins or informal access. Every team member signs a confidentiality agreement and NDA before they touch your accounts, your inbox, or your business systems.

Discretion and data security are not an afterthought here. They are built into how we work.

What's the difference between this and the Operations Audit?

They do different things and work well together.

The Business Operations Audit (£395) is a one-off structured review of your business. We look at your processes, workflows, systems, and operational structure, and leave you with a written action plan you own outright. It is useful even if you never take a retainer.

The retainer is the ongoing work. The "and now we actually fix it" part.

Most SME founders do the Audit first - it gives us both a clear picture of where to focus before the retainer begins. And the £395 audit fee is credited toward your first retainer month, so it is never wasted spend.

Do you sign NDAs?

Always - both ways.

Confidentiality runs through every Hunter Admin retainer agreement as standard. If your business requires you to use your own NDA on top of ours, we are happy to sign it. No friction, no pushback.

Your business information, your client data, and your operational processes stay exactly where they should.

What if it's not working?

Tell us. We will have an honest conversation, fix what we can, or part ways cleanly with thirty days' notice.

We would rather end a retainer on good terms than drag a working relationship that has stopped earning its place in your business.

No awkwardness. No penalty fees. Just a straightforward conversation.
